Shenandoah University Administrative Assistant--Major Gifts in Winchester, United States

Shenandoah University is seeking a qualified candidate to work in the Office of Advancement. This is a full-time benefitted position located in Winchester Virginia.

This position serves as the Administrative Assistant to the Office of Major Gifts providing exemplary attention to detail and project follow-through with confidentiality and sound judgment. This position, under the direction of the AVP, participates in cross-departmental assignment to include project documentation, timelines, and monitoring of progress against defined goals. The Administrative Assistant also assists the Advancement team as a participant in Advancement’s database software, Millennium, audits and update projects.

ESSENTIAL RESPONSIBILITIES:

  • Provides a wide range of administrative leadership assistance to the Major Gift Team to include all facets of support through calendar coordination, meeting arrangements and correspondence drafting and review.

  • Assists and, at times oversees, special projects as assigned by the Assistant Vice President for Advancement. Includes researching and recommending practices and policies for best practices and oversight of project timelines and accurate completion as defined. Works with internal and external parties to organize the various components needed to complete project assignments.

  • Researches and drafts policies and procedures for office protocols, as assigned, for review by the AVP for Advancement.

  • Assists in the tracking and management of expenditures, purchase orders and requisitions to stay within defined budget.

  • Maintains solid customer relationships as the primary liaison to incoming Advancement central telephone number; handling questions and concerns timely and professionally.

  • Manages the Advancement shared directory to ensure that all of the files and data are organized and archived in a consistent and easy to retrieve structure. Serve as the office coordinator for data access and changes working with campus liaisons.

  • Serves as the Office of Advancement coordinator for office supplies and services, including maintenance for shared office printers and copiers and as the office coordinator for mail services and postage.

  • Maintain confidential information in a logical and readily available records system involving both hard copy and electronic documentation.

  • Performs other duties as assigned.

EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES

Required

  • High school and five years of experience in general office environment involving project management assignments.

  • Ability to maintain confidential information to ensure an environment of trust in information shared on assignments.

  • Strong organizational and communication skills with exemplary attention to detail.

  • Advanced MS Office knowledge.

  • Ability to listen, communicate and interact with multiple constituencies effectively.

  • Demonstrated ability to coordinate multiple tasks and deadlines and able to embrace shifting priorities in an energetic environment with frequent interruptions.

  • Ability to express ideas effectively and work independently or within a group.

  • Complete tasks in a timely manner.

  • A passion for the mission of Shenandoah University.

  • Ability to work occasional evenings/weekends to assist with Advancement events.

Preferred:

  • Knowledge of SAGE Millennium fundraising management system.

  • Experience with Desktop Publishing software.
