Job Overview

Reporting to the senior vice-president (SVP), Human Resources (HR), you will provide professional and confidential senior level executive support to the SVP. You may also provide additional support to the broader HR leadership team as required.

Key Accountabilities

  • Manage the SVP's office and optimize his time, communications and resources to enable greater effectiveness and productivity

  • Manage the SVP's schedule using mature judgment and discretion to assess priorities and resolve conflicts

  • Monitor all correspondence coming to the SVP (including e-mail) and prioritize, redirect and follow-up as required

  • Cultivate and maintain collaborative relationships with ELT members/admins, HR teams, external contacts and others as necessary to facilitate the demands of the office/business

  • Collaborate with other HR executive assistants to handle priorities and workload

  • Support two committees of the Board of Directors and provide assistance to the secretary of the Board’s executive assistant during Board meetings

  • Assist the communications group and others to coordinate and implement off-sites, town halls and other events

  • Assemble materials to prepare the SVP for meetings and events

  • Coordinate SVP's travel, compile and submit expense reports, handle ad hoc requests

Required Qualifications

Experience and Education:

  • Minimum of 10 years of senior administrative or executive assistant experience

  • Experience handling executives’ schedule, large amounts of information and multiple priorities

  • Experience working with Board of Director committees is an asset

  • Office administration diploma/degree or equivalent education would be an asset

  • High School Diploma or General Education Diploma (GED)

Skills and Knowledge:

  • Highly proficient in the Microsoft Office suite; SAP and Livelink experience is preferred (workflows, shopping carts, Livelink permissions and collaboration rooms)

  • Preference for experience using an interface/platform such as BoardVantage and other programs (i.e. survey software) as required to support the requirements of the Board of Directors

  • Deep understanding of administrative policies and procedures and general business operations with a strong continuous improvement mindset

  • Highly developed sense of judgment, diplomacy and discretion to deal with highly sensitive and confidential personnel and business matters

  • Superior interpersonal and communication skills enabling you to build exceptionally strong, positive relationships with diverse groups at all levels both internally and externally

  • You are a self-starter with excellent time management skills, enthusiasm and organization skills with the ability to retrieve information and make quick decisions

  • Able to work independently, and a strong collaborator and great teammate
