The Clinical Administrative Specialist (CAS) performs a variety of clerical and administrative support functions throughout the Integrace community. These responsibilities may vary significantly based on the changing needs of the Integrace community and the area(s) to which they are assigned in that community. The CAS may provide basic clerical and administrative support within the context of an office or clinical unit, they may be assigned clerical responsibilities in medical records, purchasing, clinical billing of ancillary charges, payroll, staff scheduling or any other areas where such skills and support are required. The successful CAS has the ability to function in a variety of settings performing various clerically related functions. 1. Assists with all administrative, clerical and secretarial duties to support the clinical team. 2. Provides general clerical support, prepares meeting minutes, notes, and internal support materials. 3. Provides general secretarial support to all unit staff, internal and external constituents, maintaining positive relationships through all interactions. 4. Manages and monitors inventory of equipment and assets, re-ordering and restocking as necessary. 5. Responsible for proactively sourcing for suppliers of equipment and supplies; submits invoices accurately and timely. 6. Coordinates inter-departmental operations, and resolves administrative conflicts as necessary. 7. Schedules and coordinates meetings, interviews, events and other similar activities. 8. Manages the delivery and receipt of mail and packages. 9. Prepares business correspondence through the effective use of appropriate software programs. 10. Maintains and manages clinical records and files. 11. Audits, organizes, and consolidates all resident charts. 12. Closes and files all discharged resident medical charts, ensuring compliance with regulations. 13. Ensures timely processing and filing of all orders and records requiring further approval and signature. 14. Ensures that all resident appointments and diagnostic work is completed within the required time frames. 15. Assists with and/or processes payroll data for all clinical staff. 16. Managing time and staff schedules for the colleagues for the areas(s) in which they are assigned. 17. Manages staffing shortages and ensures that voids are filled appropriately and timely. Education: High School Diploma required. Experience: (Number of years of related work experience) 3-5 years' experience as a secretary, administrative assistant, ward or unit clerk, medical records clerk or similar clerical position within a health care setting, preferably a Continuing Care Retirement Community, nursing home or assisted living facility.
