Summary The purpose of the Medical Services Administrative Assistant II position is to provide support to the Pharmacy team, as well as supporting the Medical Services, Assistant Medical Directors and the OB Call Lead Clinician. Duties and Responsibilities Pharmacy Tasks Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. Organize and schedule meetings and appointments Assist in preparation of regularly scheduled reports and presentations Taking meeting minutes Follow up meeting tasks Produce and distribute correspondences memos, letters, faxes and forms Organize and track pharmacy contracts including but not limited to expiration dates, and rates; and manage all logistics involved in execution of a contract Develop and maintain staff schedules Review and approve time off requests and timesheet Make travel arrangement Submit and reconcile expense reports Prepare and monitor invoices Assist pharmacy director or manager in renewing all required licenses Liaise as necessary with vendors Medical Services Tasks Under the direction of the Medical Director and Chief Medical Officer, coordinate Provider scheduling and leave management; payroll documentation, scheduling and pay management of the OB Call schedule. Assists AMDs and Medical Providers with required licenses. Support the AMD and Medical Providers meetings by taking meeting notes and following up with meeting tasks. Liaise between Medical Providers and Administrative Services/Offices. Assist Medical Providers with CME and travel request/submission of invoices. Assist with facilitating the execution of employment agreements with the medical providers. Calculate the quarterly medical provider incentive payments. Job Requirements Education – High school diploma or equivalent. Experience – Administrative and Customer Service experience preferred, working in an office setting preferred. Other Requirement – Excellent oral and written communication skills in English.
