The Executive Assistant manages administrative and project-based tasks in addition to other priorities for senior executives in a confidential, proactive, and professional manner. The Executive Assistant must be flexible and possess outstanding decision-making and prioritizing skills. The ideal candidate is a self-starter who proactively anticipates needs before articulated and who can solve problems quickly and efficiently. In addition, they will be highly motivated and possess solid project management, organizational, and communication skills.

Major Responsibilities:

  • Proactively manage complex and often fluid calendars, taking initiative to resolve scheduling conflicts as necessary.

  • Provide presentation support including creation of materials where needed, confirming technical requirements, printing, projecting and displays, distributing materials accordingly.

  • Review, filter and prioritize emails and bring important items to the executives’ immediate attention.

  • Answering telephone calls, directing inquiries as appropriate, routing calls to appropriate party for prompt and efficient resolution.

  • Type and route correspondence for assigned executives.

  • Prepare and print various reports in a timely manner as required.

  • Prepare expense reports for personnel and executive expenses and key for payment.

  • Reconcile charges to company travel account for executive travel.

  • Make travel arrangements for assigned executives as well as traveling partners to include vendors, customers, spouses and associates.

  • Proactively ensure all business meetings are coordinated with logistics and other pre-meetings requirements identified and addressed accordingly.

  • Maintain efficient flow of information. Streamline office/administrative set-up; create time-saving measures and being quick to respond to requests and is completely dependable on follow-through.

  • Other duties as assigned by company management.

Required Skills

  • Expert proficiency in MS Office – PowerPoint, Excel, and Word is required.

  • Ability to translate strategy and concepts into high impact visual presentations.

  • Knowledge of common software packages, accounts payable and other internal systems.

  • Maturity, professional demeanor and personal discretion to interact with business leaders and directors.

  • Independent decision making and problem solving skills with the ability to develop solutions in a logical and systematic way.

  • Excellent organizational, communication, writing and time management skills with an attention to detail and follow up.

  • Demonstrated ability to work under pressure and meet deadlines.

  • Demonstrated ability to exercise prudent judgement involving issues of a highly-confidential and sensitive nature.

  • Ability to build and maintain positive and productive inter-departmental working relationships.

Required Experience

  • Minimum education required: Bachelor's degree.

  • Minimum experience required: 7+ years of Executive Administrative experience required, with ‘C’ level support experience preferred.
