We currently have an exciting opportunity for an energetic and self-motivated individual to join our highly successful Innovation team based in Malaysia.

Reporting to the HR Solutions Project Lead, ANZ, the HR Executive is responsible in coordinating, generating, processing and checking on monthly payroll for the company which outsource to third party vendor. He/she required to ensure the payroll is pay to employee on time & accurate. He/She required to ensure all data provided to payroll vendor is as per company policy & provide to payroll vendor on timely manner. Also required to ensure all the statutory payment is process accurate & submit the payment to the authority on the timely manner. To work closely with various HR parties & Finance to provide/clarify payroll related data. Attend to employee queries from employee regarding to payroll.

Some of the key accountabilities for this role will include (but are not limited to):

  • Responsible for timely and accurate execution of payroll process, following operations guidelines:

  • Day-to-day data management and data collection by attending to online case management tool

  • Maintain and update payroll template for payroll vendor

  • Verify and analyze payroll accuracy by payroll reports

  • Handle social insurance, employee provident fund, withholding tax base calculation

  • Prepare files for tax declaration and complete tax declaration

  • Complete bank transfer process

  • Produce off-cycle payments for terminated employees

  • Monthly salary accrual and balance track review

  • Reconciliation / variance report

  • Liase with bank authorizers for monthly payroll approval

  • Year end tax validation- EA form, Borang BE & any other tax form

  • Monthly statutory submission – Tax, EPF, Socso , PTPTN, Zakat

  • Attend to internal auditor & external auditor request

  • Able to work with various stakeholder eg. Human Resource Business Partner (HRBP), payroll vendor, Tax consultant, Finance & etc

  • Handle overpayment issue if any, including propose solution to discuss with HR BP/Line manager

  • Other tasks assigned by team leader

  • Support team leader in payroll related service improvement, which includes:

  • Process standardization and documentation

  • Maintain and Update in Payroll operations manual as and when there is any changes

  • Active contribution in ground service improvement

  • Other tasks assigned by team leader

  • Audit Project Supports

  • Payroll related data/System Audit;

  • HRDF, Employment Act

  • Social Insurance / Income Tax and / or other statutory / regulatory audits;

  • Team Sharing

  • Acts as expert of the respective payroll area, share with team during team learning session or new staff Orientation session

Qualifications

Do you have what it takes?

  • Bachelor Degree, HR Management diploma preferred.

  • Good command of English skills, both in written and oral.

  • Had undergone formal training/orientation on government regulation and mandatory benefits

  • 2-4 years in payroll processing in major multinational companies, in-depth payroll knowledge with proven track record in payroll operations.

  • HR Operations/Shared Service experience essential.

  • Working knowledge of HR systems (including SAP) highly desirable.

  • Advanced MS Excel skills and basic MS Work skills.

  • Self-motivated demonstrating good analytical skills.

  • Able to handle high volume of work & adapt to change.

  • Ability to work independently, multi-task, with minimum supervision.

  • Demonstrate initiative and attention to detail.

  • Understanding of Operational Risk, Risk and Control Self-Assessment, Information Security, Continuity of Business and Records Management processes.

  • Possess high sense of Integrity level.

  • Able to work in Bandar Utama
