POSITION SUMMARY:

Provide administrative support for executives in Corporate Compliance for TIAA. This position offers a high-level of exposure to work with compliance officers, risk, operational and other corporate functions’ leaders/managers, and interaction with senior-level management. This is a high volume, fast paced, and professional financial services environment.

KEY RESPONSIBILITIES AND DUTIES:

  • Provide daily administrative support including extensive filing, making copies, preparing labels, mailing and faxing documents. Receive incoming mail and distribute to appropriate team member.

  • Respond to emails and other correspondence independently or under the direction of the organization’s attorneys, officers or managers in a timely manner.

  • Prepare legal documents (agreements, letters, memoranda, etc.) and closing files. Draft and maintain corporate records.

  • Prepare agendas, notices, minutes, meeting materials, and organize and facilitate staff and departmental meetings.

  • Proofread and correct prepared materials for grammar, spelling, punctuation, format, syntax and content.

  • Manage complex travel accommodations and busy calendars for associates and communicate schedule changes to those affected.

  • Accurately complete and reconcile invoices and expense reports within corporate guidelines.

  • Manage payment of invoices and coordinate with the rest of the administrative team to assist with expense management.

  • Manage the timely production of board and committee material.

  • Take the lead and control special projects and area wide initiatives.

  • Must be able to work within an administrative team and provide backup support to team members. The organization operates in a collegial manner, with all employees working to achieve common goals.

Qualifications:

QUALIFICATIONS:

Required:

  • Minimum of 2 years administrative support experience is required, preferably in a compliance or legal department of a financial or insurance organization.

Preferred:

  • Associates or Bachelor’s degree preferred.

  • 5-7 years of experience providing administrative support is preferred.

  • Strong proficiency in technology, including instant messaging, MS Word, Excel, Outlook, SharePoint, Adobe and PowerPoint

  • Familiarity with Service-Now, Carlson Wagonlit Travel and Concur Expense report self-tool a plus.
