Responsibilities

This Management Assistant position is located at the Milwaukee VA Medical Center and performs a variety of administrative and management assistance to the Division manager of the Acute Nursing Division-Inpatient. The incumbent ensures that the varied administrative support functions for which responsible are handled in a manner to enhance the efficiency of the Division.

Duties Include:

  • Maintains databases to accurately reflect status of organizational charts and employee staffing, as well as any applicable recruiting needs or proposals.

  • Collaborates with Human Resources to process employee personnel actions, promotions and retirements. Serves as a resource by guiding others on correct preparation of various personnel actions.

  • Responsible for trifold maintenance and coordination. Ensures timely preparation and filing of records/reports for employees.

  • Compiles employee performance rating documents, validates inclusion of necessary signatures, attachment of performance standards and prepares cover sheets or accompanying memorandums.

  • Verifies licensure and certification status for registered nurses, licensed practical nurses, and other allied health professionals.

  • Performs budget administration support and resource management for the Division and is responsible for maintaining accurate records for travel and tuition funding.

  • Reviews and verifies the validity of requisitions for supplies, services, printing, and equipment.

  • Directs the overall equipment, supply and office support functions for the Division which includes printing, reproduction, publications, word processing, selection of office furniture and office equipment, property management, supplies and routine office maintenance.

  • Prepares employee award paperwork and maintains spread sheet for leadership review. Tracks overall award budget and updates Division Manager accordingly.

  • Provides administrative and management assistance/support to the Division including: meeting planning/video conference calls/conference calls, recording and generation of meeting minutes, data gathering, conference setup and support, report generation, memos, spreadsheets, graphs and presentations.

Qualifications

To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement.

Time-In-Grade Requirement:Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized experience: GS-06 Level:Must possess one full year of specialized experience equivalent to at least the next lower level (GS-05) in the Federal Service. Specialized experience is experience that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position. Specialized experience for this position includes: Experience with a wide variety of interrelated steps, conditions, and procedures or processes required to assemble, review, and maintain budget assignments while verifying the accuracy of budgetary data, adjusting dollar amounts of accounts by line item and object class, and preparing reports on the status of funds. Experience with data collection and management of data in order to input, retrieve, analyze, summarize, resolve nonstandard transactions, complaints, and present information effectively, sufficient to demonstrate an ability in communicating both orally and in writing with a variety of end users in structured and unstructured settings, in order to make effective oral presentations and prepare clear, concise written reports that describe the data collection techniques and other processes and procedures used, conditions of program operations, and recommended improvements. Skill in applying basic fact and data gathering methods, such as standard interviewing or surveying techniques, to collect various types of factual information.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements:The physical and mental status of the Management Assistant should enable him/her to perform all duties under normal and emergent conditions. The evaluation of an individual's ability to perform efficiently and without hazard to self or others will encompass a composite consideration of physical, mental, and emotional ability as related to realistic requirements for the duties and responsibilities assumed. The work requires carrying, pushing, pulling, and lifting of objects weighing up to 35 pounds. Walking, standing, and bending are necessary physical abilities required for successfully functioning in the role.
