Description

Examples of Work

Located in our LaVista Local Office your day would include performing office support for Developmental Disabilities and other divisions as needed. This involves receiving and greeting walk-in traffic and phone calls; Directing those contacts as appropriate. Serve as the vehicle coordinator for the entire office. Serve as the contact in the office for office and space issues such as maintenance, copier issues, postage, and other equipment as needed. This position: - Performs office support work involving receiving clients, entering data, filing, dispatching, sorting, or opening mail, completing forms, copying, searching records, answering phone and keyboarding. - Enters, retrieves and researches information using agency computer systems. - Operates various equipment such as mail sorters, scanning/imaging equipment, telephone and computers to obtain necessary customer information, to prepare documents for imaging and to tie customer applications and/or files. - Codes and indexes documents as they are scanned; performs quality control, inspection and verification of scanned documents. - Stores documents in a prescribed manner so they are retrievable and associated with the correct customer. - Completes or enters information and mails form letters to obtain verification of client resources, client status or other information necessary for eligibility or other status reviews. -- Completes forms and reports or enters information regarding scheduling, billing, appointments or other documents involving service or program activities. -- Receives application for services and reviews for completeness; inputs required information into the computer for accessibility by caseworkers. -- Provides information to clients and community members concerning the services and resources available through the agency and community partners. -- Helps clients and community members use the services available through the agency and other appropriate community partners.

Qualifications / Requirements

REQUIREMENTS: Coursework/Training or experience in public contact, customer service, working in a human services setting, using computer systems or office applications or performing office/secretarial support functions.

PREFERRED: Experience with Developmental Disabilities, Medicaid or Economic Assistance. Proficient at Word, Excel, ONBASE, NFOCUS, NDEN, and Therap . Position may require long periods of sitting and occasional light lifting and ability to provide independent authorized transportation.

Knowledge, Skills and Abilities

Knowledge of: office processes and procedures; customer service processes and principles; administrative and office/clerical support procedures and associated computer applications such as word processing, file management, record keeping, and database management. Knowledge of: Word, Excel, ONBASE, NFOCUS, NDEN, and Therap. Ability to: formulate and recommend alternative courses of action; communicate and exchange information and ideas with others; create charts, graphs, and/or reports using word processing or other computer applications; summarize technical data and results of research into reports; track and monitor information; retrieve information from a variety of sources; coordinate resources and people; learn organizational structure, mission, and activities of the employing agency; learn agency policies and procedures and sources of information pertinent to the assigned work; agency policy and procedures.
