Northwestern University is seeking a temporary Full-time Program Assistantfor the Chicago campus.
Temporary Job Description:
Completes activities associated with the creation and maintenance of documents and databases. Based on analysis, research and/or knowledge of subject matter, and professional field, prepares and compiled correspondence and reports as necessary. Creates and maintains complex spreadsheets, databases, reports, queries, charts, etc. based on supervisor’s information objectives
Completes activities associated with budget, finance, and accounting, such as: administering budgets for the department, which may include approving purchases, reimbursements, and orders. Processes accounting transfers, appropriation and funding changes, deposits, and payroll. Completes journal entries. Creates and monitors budget statements. Verifies that charges are accurate and posted to the appropriate account. Reconciles accounts. Resolves discrepancies and outstanding encumbrances. Assists in balancing accounts at close of fiscal year. Assists in preparation of annual budget.
Manages calendars of supervisors and department. Manages complex scheduling arrangements involving multiple parties and conferences, international travel, etc. Sets up and cancels meetings based on knowledge of subject and attendees. Coordinates large scale and complex events. Ensures that all logistics have been completed such as advertising, registration, speakers, international travel arrangements, venues, catering, technology, etc.
Represents the department, program, or project with various levels of personnel, both internally and externally managing and facilitating confidential and/or critical information. Responds to unanticipated and complex issues.
Coordinates work of receptionists, program assistants, temporary / work study students, research / clerical assistants, and interns.
Bachelor’s degree, preferably in Health Sciences, or appropriate combination of education and experience.
Five or more years of relevant experience.
Five years administrative support or other relevant experience required.
Excellent writing and communication skills.
Experience working in a research environment preferred.
Advanced experience with MS Office suite 2013 (Word, Excel, PowerPoint, Outlook).
Previous experience with NU Financials or PeopleSoft software preferred.
