Position Summary

The Commercial Director Personal Assistant is responsible for (1) Providing administrative support to the Commercial Director CE in a confidential manner; (2) Act as the Single Point of Contact (SPOC) for HR support in the market and (3) Support Finance manager in facility management, fleet management and IT management


This position includes: -Support the Commercial Director CE with all administrative tasks. This includes, but is not limited to: maintaining dairies, managing appointments, filtering phone calls, preparing letters and presentations, organizing trips, organizing meetings and seminars (booking, logistics), management and monitoring of expenses, interfaces between the Commercial Director and his/her internal and external audiences in Poland and abroad. -Support other senior managers in the organization with similar needs, occasionally & if agreed with Commercial Director -Act as Single Point of Contact for the remote HRBP locally. This includes but is not limited to: support to Payroll management, absence management, basic HR legal requirement contract management, recruitment, exit interviews and follow up of exit restitutions -Be in charge for fleet management. This includes, but is not limited to: Follow up leasing dates, work with Procurement on replacing vehicles, ensure global policy is applied by all employees -Support the local Finance manager in tasks & accountabilities related to Facility management. This includes, but is not limited to: reception desk management, mailroom management, procurement of supplies, management of direct and indirect suppliers regarding building maintenance, security & access rights -Support all local managers with IT requests, using the remote services of IT Concierge and IT employees -Carry out specific projects as per need e.g. improvement / efficiency analysis on the above tasks, once agreed with Commercial Director

Required Skills and Experience
