The Ontario Institute for Cancer Research (OICR) is seeking an Administrative Assistant to support the Genome Technologies Program (GTP). The Administrative Assistant will provide full administrative support to the GTP and Program Manager, while maintaining a high standard of professionalism, confidentiality and teamwork.
Responsibilities to support Genome Technologies include:
Provide administrative support to the GTP Program Manager and other staff as needed;
Coordinate lab reagent and supply orders, assist with inventory tasks;
Maintain office supply inventory and order supplies as needed;
Coordinate and track the submission of invoices and expenses;
Reconcile P-Card statements with monthly invoices and other expenses (travel, conference fees, etc.);
Liaise with other administrative assistants and Program Managers within OICR and external stakeholders, including executive staff;
Organize and maintain electronic and manual files in accordance with OICR policies and procedures;
Maintenance of contact and distribution lists;
Performing other duties consistent with the job classification, as required.
Completion of Grade XII or recognized equivalent;
Completion of a recognized post-secondary secretarial arts program at the certificate level or equivalent;
Previous experience in a comparable administrative role in a research institution;
Completion of some post-secondary education or equivalent work experience preferred;
Excellent MS Office Suite skills (Word, Excel, PowerPoint, Outlook);
Ability to analyze basic data and information;
Excellent verbal and written communications skills;
Excellent interpersonal and customer service skills;
Proven ability to multi-task and manage projects;
Demonstrated ability to work in a fast paced environment;
Demonstrated ability to use good judgment in assessing difficult situations.
