This Administrative Assistant position will support the Director of Relationship Management and Advanced FA Education as well as Leaders within the team at Wells Fargo Advisors. The position performs complex and critical administrative tasks with primary responsibilities such as coordinating, optimizing and maintaining the efficient administrative operations of the team.

Additional duties will include:

  • Providing administrative support to multiple leaders

  • Maintaining complex calendars

  • Coordinating with other administrative staff, both internal and external to WFA, to schedule meetings

  • Maintaining conference room schedules

  • Making complex travel arrangements and preparing expense reports

  • Assisting with the review and tracking of department budgets and expenses

  • Updating recurring reports and presentations

  • Assisting with time tracking and vacations approvals

  • Processing Move, Add, Change (MAC) requests for hardware and software

  • Coordinating department communications and events and participating in special projects as requested

  • Assisting, screening, and/or selectively referring callers

  • Working closely with internal customers to meet their service needs

  • Providing support to the business line staff in the areas of reporting, customer/business documentation, sales and service goals

  • May assist with on-boarding new team members, preparing system access, and new equipment requests

  • May assist in the creation of materials for presentations and speaking engagements

  • Building and maintaining relationships with other Administrative and Executive Assistants

  • Being a role model and setting the tone around responsiveness and team work for the administrative staff in the group

  • Work schedule: Monday through Friday 8-5 CST

  • Location: St Louis

Required Qualifications:

  • 3+ years of administrative support experience

  • Experience interacting directly with customers

  • Brokerage industry experience

  • Experience working in a large enterprise environment

  • Ability to communicate effectively, in both written and verbal formats, with senior executive-level leaders

  • Ability to develop partnerships and collaborate with other business and functional areas

  • Ability to handle confidential material in a professional manner

  • Ability to maintain professional etiquette under pressure

  • Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments flawlessly

  • Ability to manage multiple and competing priorities

  • Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment

  • Ability to schedule and plan meetings, events, and travel arrangements

  • Ability to work effectively, as well as independently, in a team environment

  • Advanced Microsoft Office (Word, Excel, Outlook and PowerPoint) skills

  • Knowledge and understanding of accounts payable or invoice processing

  • Strong independent thinking skills

  • Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
