Provides high-level executive support to CEO and high-level administrative support to HR and other administration departments. Carries out work projects assigned by the CEO. Assists administrative management by performing secretarial/clerical and minor executive duties. Performs clerical functions such as preparing correspondence, physician contracts, meeting minutes, receiving visitors, and scheduling meetings.
Essential Duties and Responsibilities:
Provides administrative duties as requested by senior staff. Ensures responsibilities assigned by CEO are given priority.
Coordinates administrative calendar. Maintains and coordinates schedules for conference rooms.
Screens visitors and responds accordingly.
Composes and prepares confidential correspondence, reports, presentations and other documents as directed. Writes clearly and informatively. Edits work for spelling and grammar.
Prepares physician contracts as directed by CEO.
Facilitates the completion, distribution and maintains records of clinic contracts.
Maintains financial books for investment companies as directed by CEO.
Coordinates meetings including notices, reminders and agendas. Attends meetings and takes minutes. Maintains minute library allowing for easy review of decisions made.
Coordinates and arranges meetings or events by arranging for facilities, food, equipment, etc.
Arrange travel plans and itineraries.
Covers duties of executive assistant to COO when necessary, including preparing and distributing employee name badges, posting job openings and distributing interoffice mail.
Coordinates and maintains clinic policies including the review, approval and record of such.
Accurately and timely assists in the recording of required OSHA documentation.
Provides back up coverage for NHSC activities.
Makes copies, prepares out-going mail and correspondence, including e-mail and faxes.
Responsible for maintaining current labor law posters.
Prioritizes and plans work activities to ensure efficient use of time.
Follows clinic policies and procedures and supports departmental goals and objectives.
Maintains strictest confidentiality.
Other duties as assigned.
Excellent communication skills both oral and written.
Good working knowledge of computer programs such as excel, word, power point, etc.
Working knowledge of QuickBooks.
Good time management skills.
Self-starter with the ability to work alone and unsupervised.
High school diploma or equivalent. Associates degree preferred.
Five years experience in similar setting.
