Main Duties and Responsibilities

The Administrative Assistant has the responsibility for various site level activities, such as managing site leader’s calendar & travel, arranging All Hands, Town Halls, and SLT team meetings, making arrangements for site visitors and managing site stationery. Some activities involve obtaining or providing information or data on matters of a sensitive nature, which must be held confidential. On a team level, responsibilities include administrative support for Learning & Development Leader, learning system administration, and arranging some training sessions and meetings.

Primary Activities

  • Manage site leader’s calendar

  • Manage site leader’s travel arrangements

  • Arrange SLT team meetings

  • Provide complex administrative support, including, but not limited to creating presentations and communications from several sources and performing research, collecting, collating, and organizing data

  • Provide administrative support to L&D team leader

  • Make arrangements for site visitors, including auditors & inspectors

  • Extensive telephone communications within site, with other AZ sites, and with numerous external contacts

  • Purchase and maintain site stationery supplies & storage, including printer supplies & support

  • Serve as an Admin for electronic learning system

  • Serve as an Admin for site plasma communication system

  • Provides admin support for various site activities, such as managing site permits, posting site notices, & issuing site e mails

Essential Requirements

  • High school diploma

  • Relevant experience in biopharmaceutical industry

  • Good oral and written communication skills.

  • Proficient in typing

  • Proficient with internet / intranet use

  • Proficient in MS office tools, such as Word, Outlook, Powerpoint, and Excel

  • Able to handle sensitive information confidentially

  • Able to multi-task, particularly with time sensitive activities

Skills and Competencies

  • Proficient with a range of computer systems and programs

  • Ability to learn new technology effectively, and to teach others

  • Ability to work under pressure, and make decisions

  • Ability to work to changing deadlines, with minimum of supervision

Desirable Requirements

  • Diverse experience with MS Office programs

  • Experience in developing material for various communication channels

  • Experience in managing GMP records, such as training records or other documentation
