Department/Unit Summary

  • Our department is responsible updating inventory of over 30 Nursing units which consist of over 60 supply cells by 9:50am daily, to include running 3 Service Centers.

  • On a daily basis the Service Centers can distribute over 600 requests for supplies and equipment throughout the hospital. Employee will be responsible for delivering supplies and small equipment to all Inpatient Nursing Units and various Clinics.

  • Additional task include low stock and refill of supply cells daily, pulling parcel for Nightshift for appropriate supply cells, assist and respond to stats called overhead, restock of specialty carts to include 126 crash carts, 18 difficult airway bags, 2 pin carts, 12 chest tube bags, 10 central line carts, and 21 pediatric tackle boxes.

  • Responsibilities include cleaning out return bins throughout the supply rooms & supply room maintenance, putting supplies back into inventory and crediting the patient or Nursing Unit as necessary, and routine expiration checks.

  • Utilization of various Materials Management programs is required to research products. Charge items accordingly by using PMM and POU to the patient or unit upon request

Your Role:

  • The Clinical Supply Specialist is responsible for day to day material and inventory related operations in all OR areas and Central Supply to include but not limited to:

  • Inventory and cycling counting surgical material

  • Receiving and stocking of material to support surgical operations

  • Placing orders to support surgical operations

  • Assisting clinical staff in obtaining material to support surgical operations.

  • Participate in annual inventory related functions

Key Functions and Expected Performances:

  1. Provide materials requested for patient medical care.

a. Process requests generated from clinicians for supplies and equipment.

b. Deliver supply requests in an accurate and timely manner.

c. React appropriately to stock outs,critical levels and all emergency supply situations.

d. Assemble case carts according to surgical preference cards.

e. Drive VUMC equipment (such as truck or tow motor) as needed following all safety guidelines.

f. Deliver case carts, supplies, and instruments to requested destinations as needed.

  1. Receive all medical-surgical supplies and equipment.

a. Utilize the appropriate materials management systems to receive supplies and update on hand inventory.

b. File receiving documentation according to policy.

c. Follow policy and procedure for receipt of all implants to include bone and tissue.

  1. Ensure appropriate on hand inventory levels are maintained.

a. Conduct inventory counts according to schedule.

b. Generate orders based on usage and determined par levels.

  1. Maintain work environment in a safe, clean, orderly manner.

a. Ensure all locations have appropriate barcodes and locators assigned.

b. Ensure stock is replenished to assigned location.

c. Rotate stock and check for expired product.

d. Follow all safety procedures in handing supplies and equipment.

  1. Maintain appropriate supply chain records and documentation.

a. Directly responsible for capturing patient charges for all medical-surgical supplies.

b. Cross reference supplies between departments as appropriate.

c. Follow procedures to track supplies borrowed or loaned to surrounding hospitals.

d. Process all returns according to policy.

  1. Serves as a preceptor for new employees.

a. Teaches proper methods of assembling surgery carts according to departmental standards.

b. Teaches proper methods of maintaining inventory according to departmental standards.

c. Provides a positive role model in time, attendance and performance.

  1. Finish Case Carts

a. Complete the case cart by adding all appropriate supplies per the DPC.

b. Seal the cart and stage the cart in the finished area.

Position Qualifications

Required:

  • Job requires High school graduate or GED and 6 months of experience or the equivalent.

  • Valid Driver’s License

Preferred:

  • Previous Supply Chain experience

Position Shift:

6 AM – 6 PM – Rotating day and holidays
