General Description

Samsung Electronics America, Inc has established a new product development team dedicated to the exploration of new ideas for Samsung’s consumer electronics business entities. The Product Innovation Team is a multi-disciplinary group with objectives to identify, validate, and prototype new product ideas both internally and by working with outside design and creative agencies.

Product Innovation Team (PIT) is located in Mountain View CA away from its HQ in NJ and Korea and it needs operations assistant to provide full proficiency in general office management and provide administrative and clerical support for the department and its operations.

Provide full executive support to Department head and Department operations.

Primary job responsibilities include:

Performs general office management support

Provide proactive calendar management and daily schedule coordination with various parties for Dept on an on-going basis;

Manage day to day schedules, organizing meetings, reports and expenses for dept head

Manage maintenance of office space by managing office janitors, bldg landlord, facility members, and external vendors to keep clean, operational and creative environment

Support Dept head and team leads by gathering and distribution of PIT dept operation reports(i.e. Dept Weekly Report, dept directory, PIT visitor guide, etc)

Support communication between Korea HQ and PIT members as needed by translating documents/emails and conversations during conf calls, meetings, events (Korean<>English)

Performs general data entry and support in managing and organizing all internal contracts with SEA legal dept

Provide support new hires and other PIT members on Samsung sites (Single, GERP, GHR, RMS, etc), PIT internal Process and exception requests as needed. (Single attachment size increase request, ESCORT, NASCA, Websense, etc)

Manage, Order and Organize dept supplies

And other supplies supporting/managing shared areas, meeting rooms, break area and Dept magazines & books

Follow up on deadlines and commitments to/from Dept head, Operations lead and team leads (Director and above).

Assist with pre planning and preparation for regular meetings and special events, logistics and venues (Global Forum, Project workshops, Dept events, Monthly team meeting, etc.)

Provide Support in submitting expense reports, TA and PUMI submissions (source for travel policy, procedures and process)

Manage Dept samples and assets supporting General ledger, maintaining inventory of employee assigned properties and dept assets/samples

Coordinate meetings, conferences and travel arrangements for Dept Head, Team leads (Director and above) and VIP visitors; coordinates domestic and international travel and accommodations for Executives.

Assist with the preparation of business presentations, dept meetings, etc

Record, transcribe and distribute minutes of meetings as applicable

GERP expense & TA power user - assisting with Training manuals and follow up with A/P, GA and SHA as needed to get latest updates/policies and procedures. GERP go to person

Operates other office equipment such as printers, copy machines, fax machines. May serve as liaison with service and vendor personnel.

Necessary Skills / Attributes

  • Minimum Bachelor's degree from four-year College or University preferred, or equivalent work experiences in business, executive office administration, executive services; applied secretarial skills and practices.

  • A minimum of 3-5 years experience in an administrative and operation support position.

  • Bilingual Korean must. (Must be able to read, write and speak Korean)

  • Intermediate knowledge of MS Office Suite Word, PowerPoint, Excel

  • Advanced knowledge of MS Outlook; multiple calendar management, comfortable dealing with multiple time zones

  • Excellent oral and written communication skills

  • Professional and confident phone manners

  • Precise and effectively written communication; ability to edit correspondence and reports

  • High level of professionalism, customer service, energy, speed and accuracy

  • Strong organizational and planning skills with a proven ability to effectively prioritize work flow

  • Resourceful, with the ability to prioritize, multitask and meet deadlines with minimal supervision

  • Excellent interpersonal skills and a proven track record for being a strong team player.

  • Tolerance to ambiguity, and work well with a wide variety of people at all levels of the organization

  • Exercises independent judgment in planning, organizing, scheduling of work assignments

  • Thrives in a fast-paced and dynamic setting
