Who we’re looking forToyota’s Human Resources Department is looking for a passionate and highly-motivated Vendor Management Logistics & Facility Administrator. The primary responsibility of this role is providing general administrative support to the Talent Development team, managing vendor relationships and facility administration. Reports to the Manager of Training Delivery & Delivery Standards, the person in this role will support the Talent Development department's objectives while managing administrative functions, contractual obligations and acting as the primary contact person for Toyota’s Logistical Support Provider. What you’ll be doing

Vendor Management Support

Manage relationships with companies that supply solutions for the Learning Support team, ensuring these companies meet or exceed their contractual obligations. Some examples of activities include: delivering quality products and services on time, acting as the primary contact person for Toyota’s Logistical Support Provider, coordinating yearly planning sessions between internal stakeholders and vendors, and completing billing for vendor services. Identify, field and analyze internal customer requests related to Learning Support products and services. Recognize the nature, degree, and subject area of the requests, and provides a response that answers the customer’s immediate needs and aligns with Learning Support objectives. Administrative, Logistical, and Facility support to Learning Support program teams

Provide administrative support to Learning Support program teams for Talent Development activities, which may include: resolving Learning Management System (LMS) trouble tickets, providing logistical and facility administrative support for on-site and remote training, preparing and coordinating program materials delivery, setting up events and courses, providing administrative support for Requests for Proposals, Master Service Agreements, Non-Disclosure Agreements, Statements of Work, and Purchase Orders, researching best practices, transcribing and uploading interview and focus group information, generating reports, and maintaining calendars. General Administrative Support

Provide general administrative support, which may include: creating a variety of communication documents using Microsoft Word, Excel and PowerPoint, organizing and maintaining public mailing distribution lists and organization charts; copying, faxing, filing, distributing incoming mail, ordering research materials, renewing magazine and industry trade subscriptions, scheduling staff training classes and events; coordinating conference calls and web meetings, ordering an d maintaining team supply room, processing Learning Support team member relocations, and scheduling / coordinating Learning Support team member meetings with executives and key business unit personnel. Financial Related Responsibilities

Financial related responsibilities may include: corporate purchasing card and budget reconciliation, expense report preparation, managing monthly budget report updates, coordinating budget forecasting, inputting forecast data, processing affiliate invoicing and allocations. What you bring

High School diploma with a combination of administrative support experience Ability to organize, prioritize, and “multi-task” with high degree of efficiency, while exercising good judgment and maintaining confidentiality Strong interpersonal, written and verbal communication skills Ability to work in a team and cross-functional environment Ability to work in a self-empowered environment with minimal direction. Ability to negotiate and collaborate with vendors High level of initiative and a positive attitude Ability to keep multiple projects on target simultaneously Strong proficiency in MS Office products Added bonus if you have
