Duties and Responsibilities:

Under the general direction of the Executive Director of Human Resources, the Administrative Coordinator oversees and performs a wide variety of administrative and operational functions in support of the Executive Director and the Human Resources Department. Supervises other administrative staff and student employees within the Human Resources Department. Manages the schedule and the calendar of the Executive Director to include making travel arrangements, greeting and directing visitors, screening and handling telephone calls, taking meeting minutes, making necessary preparation for conferences, meetings, or hearings, including keeping official records of such meetings; and dealing with other administrative issues and inquiries as required. Monitors and coordinates accounting activities and prepares internal reports; participates in budget planning; monitors and tracks departmental invoices and expenditures; initiates and monitors purchase requisitions and purchase orders. Composes and prepares written documentation and correspondence to include key process documentation. Oversees the day-to-day administrative operations of the entire department to include maintaining office equipment and property records, submitting work order requests, ordering office supplies, and coordinating other issues related to logistics. Performs work that is confidential in nature. Participates in administrative projects and provides support to departmental staff as required.

Minimum Requirements:

Associates degree in Business Administration, Human Resources, or a related field. Three years direct experience. Working knowledge of standard office practices, procedures, and equipment. Extensive experience and proficiency with Microsoft Office (Word, Excel, Power Point, and Outlook). Proven ability to administer, coordinate, and track a departmental budget. Proven ability to document key processes. Excellent, organizational and time management skills. Proven ability to communicate effectively both orally and in writing. Demonstrated ability to relate to and interact effectively with diverse audiences.

Preferences:

Bachelor's degree in Business Administration, Human Resources or a related field. Proficiency with Visio Flowchart Program. Ability to organize and coordinate work activities; establish priorities and meet critical deadlines; act independently and make logical decisions based on policies; communicate effectively with all levels of employees; compose correspondence from fragmentary or incomplete instructions. Must have the ability to focus on details and ensure accuracy in all correspondence. Demonstrated proficiency working with computers, spreadsheets, and word processing software. Office management experience. HRIS experience; desktop publishing and database software. Bilingual helpful.

Work Schedule:

Monday - Friday; 8:00 a.m. to 5:00 p.m.
